PENGENALAN Dasar Privasi ini menjelaskan bagaimana Gereja Protestan di Sabah (“PCS”, “kami”) mengumpul, menggunakan, menyimpan dan melindungi maklumat peribadi melalui sistem Bancian PCS di https://census.pcsmalaysia.org (“Sistem”). Dengan mendaftar, log masuk, atau menandakan kotak persetujuan, anda bersetuju data anda disimpan oleh PCS untuk simpanan dan kegunaan yang berkaitan dengan Gereja Protestan di Sabah sahaja. Dasar ini disediakan selaras dengan prinsip Akta Perlindungan Data Peribadi 2010 (Akta 709) Malaysia. 2. SIAPA YANG MENGUMPUL DATA Pengawal data: Gereja Protestan di Sabah (PCS). Staf yang mungkin mengakses data: • Pentadbir sistem (Admin) — kelulusan akaun, pembetulan data, eksport, pengurusan peranan dan keselamatan akaun • Petugas Kemasukan Data (Data Entry) — menambah dan mengemaskini rekod yang mereka masukkan • Anda sendiri — melihat dan mengemaskini profil sendiri selepas diluluskan 3. DATA YANG KAMI KUMPUL a) Maklumat pengenalan dan hubungan Nama penuh, nombor kad pengenalan (No. IC), nombor telefon, jantina, jemaat, parokhi, gelaran dalam gereja. b) Maklumat akaun Kata laluan (disimpan dalam bentuk tersulit / hash, bukan teks biasa), status kelulusan akaun, dan rekod persetujuan (termasuk tarikh dan masa anda bersetuju). c) Maklumat gereja / sijil No. sijil baptis, no. sijil konfirmasi, status perkahwinan, no. siri perkahwinan JPN atau lain-lain, no. sijil pemberkatan perkahwinan gereja, serta butiran berkaitan (tarikh, tempat, parokhi, pengupacara, saksi) jika anda mengisinya. d) Maklumat keluarga Nama dan No. IC pasangan, foto pasangan, nama dan No. IC anak-anak. Data keluarga mungkin dipautkan dengan rekod pasangan yang juga berdaftar dalam Sistem, supaya salasilah keluarga konsisten. e) Gambar Gambar passport diri dan (jika berkaitan) gambar pasangan yang anda atau staf muat naik. f) Maklumat sosio-ekonomi Pendidikan, pekerjaan, dan anggaran pendapatan sebulan. Medan ini membantu perancangan pastoral dan khidmat gereja, bukan untuk tujuan komersial. g) Data daripada Sinode41 Jika anda log masuk dengan No. IC dan kata laluan yang sama seperti https://sinode41.pcsmalaysia.org, Sistem boleh mencipta atau memautkan rekod Bancian dan memuatkan data sedia ada (contoh: nama, telefon, jemaat, parokhi, foto) daripada pangkalan Sinode yang berkaitan. h) Data teknikal terhad Sesi log masuk (cookie sesi), masa akses, dan maklumat yang diperlukan untuk mengendalikan Sistem dengan selamat. Kami tidak menggunakan data bancian untuk pengiklanan. 4. MENGAPA KAMI KUMPUL DATA (TUJUAN) Data digunakan hanya untuk tujuan berkaitan PCS, termasuk: • mendaftar dan mengesahkan keahlian / kehadiran dalam bancian ahli • pengurusan jemaat, parokhi dan gelaran dalam gereja • rekod baptis, konfirmasi dan pemberkatan • paparan salasilah keluarga untuk ahli yang diluluskan • perancangan pastoral, penjagaan jemaat dan statistik dalaman gereja • pentadbiran akaun (kelulusan, pembetulan data, tetapan semula kata laluan) Kami tidak menjual data anda. Kami tidak menggunakan data untuk pemasaran pihak ketiga. 5. ASAS PERSETUJUAN Pendaftaran memerlukan anda menandakan kenyataan: “Saya setuju data saya di simpan oleh pihak Gereja Protestan di Sabah (PCS) untuk simpanan dan kegunaan yang berkaitan dengan Gereja Protestan di Sabah sahaja.” Persetujuan direkodkan bersama cap masa. Bagi kanak-kanak / anak di bawah umur, data dimasukkan oleh ibu bapa atau penjaga sebagai sebahagian rekod keluarga. 6. DENGAN SIAPA DATA DIKONGSI Data tidak dikongsi dengan orang ramai. Akses terhad kepada: • anda (akaun sendiri) • Admin dan Data Entry yang diberi kuasa • sistem Sinode41 yang berkaitan, hanya untuk pengesahan log masuk dan pemuatan data keahlian sedia ada Admin boleh mengeksport data (contoh CSV) untuk kerja dalaman PCS. Eksport ini bukan untuk edaran awam. 7. PENYIMPANAN DAN KESELAMATAN Data disimpan pada pelayan yang dikawal PCS (termasuk pangkalan data dan fail muat naik seperti gambar). Kata laluan disimpan secara tersulit. Langkah munasabah diambil untuk mengelakkan akses, ubah suai atau kehilangan tanpa kebenaran. Tiada sistem dalam talian yang 100% selamat; sila jaga kata laluan anda dan jangan kongsikannya. 8. TEMPOH SIMPANAN Data disimpan selagi diperlukan untuk rekod keahlian dan pentadbiran PCS, atau sehingga akaun dipadam oleh Admin atas permintaan yang sah / dasar gereja. Rekod gereja tertentu (contoh sijil) mungkin disimpan lebih lama sebagai rekod rasmi PCS. 9. HAK ANDA Anda berhak: • mengakses data profil anda dalam dashboard selepas akaun diluluskan • membetulkan data yang tidak tepat (melalui dashboard, atau minta Admin) • menarik balik persetujuan atau meminta pemadaman — hubungi Admin gereja / pejabat PCS; pemadaman mungkin terhad jika data diperlukan sebagai rekod rasmi gereja • membuat aduan kepada Jabatan Perlindungan Data Peribadi (JPDP) jika anda percaya data anda disalahgunakan 10. COOKIE / SESI Sistem menggunakan cookie sesi untuk mengekalkan log masuk anda. Cookie ini bukan untuk penjejakan pengiklanan. 11. PERUBAHAN DASAR PCS boleh mengemaskini Dasar Privasi ini. Versi terkini akan dimuat naik bersama Sistem. Tarikh berkuat kuasa dipaparkan di bahagian atas dokumen. 12. INTRODUCTION This Privacy Policy explains how the Protestant Church in Sabah (“PCS”, “we”, “us”) collects, uses, stores and protects personal information through the PCS Census system at https://census.pcsmalaysia.org (“the System”). By registering, signing in, or ticking the consent box, you agree that your data may be stored by PCS for safekeeping and use related to the Protestant Church in Sabah only. This Policy is prepared in line with the principles of Malaysia’s Personal Data Protection Act 2010 (Act 709). 2. WHO COLLECTS THE DATA Data controller: Protestant Church in Sabah (PCS). People who may access data: • System administrators (Admin) — account approval, data correction, export, role management and account security • Data Entry staff — add and update records they themselves entered • You — view and update your own profile after approval 3. DATA WE COLLECT a) Identity and contact Full name, MyKad / identity card number (IC), phone number, gender, congregation (jemaat), parish (parokhi), and church title/role (gelaran). b) Account information Password (stored as a one-way hash, not plain text), account approval status, and consent record (including the date and time you agreed). c) Church / certificate information Baptism certificate number, confirmation certificate number, marital status, civil marriage serial number (JPN or other), church marriage blessing certificate number, and related details (date, place, parish, officiant, witnesses) if you provide them. d) Family information Spouse name and IC, spouse photograph, and children’s names and ICs. You enter spouse details yourself. If the spouse IC matches another registered member, the family tree can still show that person. e) Photographs Your passport-style photo and, where relevant, a spouse photo uploaded by you or by authorised staff. f) Socio-economic information Education, occupation, and estimated monthly income. These fields support pastoral planning and church ministry. They are not used for commercial purposes. g) Data from Sinode41 If you sign in with the same IC number and password used at https://sinode41.pcsmalaysia.org, the System may create or link a Census record and load existing particulars (for example name, phone, congregation, parish, photo) from the related Synod database. h) Limited technical data Login session (session cookie), access time, and information needed to operate the System securely. We do not use census data for advertising. 4. WHY WE COLLECT DATA (PURPOSES) Data is used only for PCS-related purposes, including: • registering and verifying membership / participation in the church census • managing congregation, parish and church roles • baptism, confirmation and marriage-blessing records • family-tree display for approved members • pastoral planning, congregational care and internal church statistics • account administration (approval, data correction, password reset) We do not sell your data. We do not use it for third-party marketing. 5. CONSENT Registration requires you to accept this statement: “I agree that my data may be stored by the Protestant Church in Sabah (PCS) for safekeeping and use related to the Protestant Church in Sabah only.” Consent is recorded with a timestamp. For children, details are entered by a parent or guardian as part of the family record. 6. WHO WE SHARE DATA WITH Data is not published to the general public. Access is limited to: • you (your own account) • authorised Admin and Data Entry staff • the related Sinode41 system, only for login verification and loading existing membership data Admin may export data (for example CSV) for internal PCS work. Such exports are not for public circulation. 7. STORAGE AND SECURITY Data is stored on PCS-controlled servers (including the database and uploaded files such as photos). Passwords are stored in hashed form. Reasonable steps are taken to prevent unauthorised access, alteration or loss. No online system is 100% secure; please keep your password private and do not share it. 8. RETENTION Data is kept for as long as needed for PCS membership and administration, or until an Admin deletes the account following a valid request or church policy. Certain church records (for example certificates) may be kept longer as official PCS records. 9. YOUR RIGHTS You have the right to: • access your profile data in the dashboard after your account is approved • correct inaccurate data (via the dashboard, or by asking an Admin) • withdraw consent or request deletion — contact a church Admin / the PCS office; deletion may be limited if the data is required as an official church record • lodge a complaint with the Department of Personal Data Protection (JPDP) if you believe your data has been misused 10. COOKIES / SESSION The System uses a session cookie to keep you signed in. This cookie is not used for advertising tracking. 11. CHANGES TO THIS POLICY PCS may update this Privacy Policy. The latest version will be published with the System. The effective date is shown at the top of this document. 12.
